Job Description

You will be responsible for supporting the team on the planning, coordination and execution of stakeholder engagement experiences and events. As part of the team, you will get exposure to a wide variety of projects and play a significant role in designing and implementing strategic communications related to a female engagement program.   • Support the team by managing daily needs while learning the firm and prospect’s business
  • Execute fundamental new project tasks, ranging from timelines, budgets, and all work to keep projects on track
  • Conserve executive’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications
  • Maintain executive’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel
  • Develop content, carrying out research on various subjects as well as supporting the team on the planning, coordination and execution of stakeholder engagement experiences and events
  • Write and edit communications for a variety of internal and external audiences and channels, including press, social media and employees
  • Co-ordinate event planning and communication efforts 
  • Provide historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions
  • Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies
  • Regularly observe the online activity of model organizations. Research and report on “social media best practices”
  • Work with senior and experienced staff to support the client and project team in the development and implementation of innovative strategic communications and engagement programs designed to proactively manage stakeholders
  • Demonstrate fast, critical thinking in solving problems and be resourceful in gathering data and addressing issues to contribute to solutions
  • Provide indispensable support to the overall team by managing daily needs from task/project management and meeting logistics, to distribution of project-related documentation
  • Track and manages all projects – Beginning to understand the operations of an account, how to run projects, and financial accountability (client/agency)

  • Have strong writing, editing and proofreading skills. Layout and design skills are a plus
  • Have a knowledge of social media platforms and Microsoft Office packages. Graphic design experience and ability to use photo and video editing software and apps to produce social media content (Canva, Adobe Photoshop, etc.) are a plus 
  • Have a “can-do” attitude and are able to operate in a highly dynamic environment with multiple competing priorities
  • Have high-level of accuracy and attention to detail and are able to handle sensitive and confidential information with discretion
